Taking a Vote in Outlook - January 2006

Using Outlooks Voting buttons you can quickly and easily take a poll of your colleagues. For example, was the recent training session useful, where does everyone want to go for the office Away Day? When each recipient replies using the voting buttons that appear in the Email message, Outlook will automatically count the replies for you and give you a result!

Setting up the Vote

Create a new Email message and address it to everyone who is participating in the vote. If you get a vote too, you can also send a copy to yourself.

When you are creating the message it is a good idea to type "Click the button above to let me know your choice", to make the recipients aware of the buttons that will appear.

To setup the Voting buttons click the Options button in the toolbar at the top of the message. If you can't see the Options button, choose Options from the View menu.

Tick Use Voting Buttons. The words Approve;Reject will appear in the text box to the right. Delete these words and replace them with your own choices, separated by semicolons. For example, if you were choosing a location for the office Away Day you could type: Rome;London;Paris;Madrid

When you have finished click the Close button to close the Options dialog box and send the message as normal.

 
 
 
 
How to reply?

When the recipients receive the message they will (hopefully!) click one of the buttons at the top of the message to vote. A reply is then automatically send back to the originator of the vote as an Email message.

When these replies have been read Outlook will automatically delete them. (Outlook 2003 only.)

Counting the votes

When you want a count of the replies change to your Sent Items folder and find the original message which contains the voting buttons.

Double-click to open this message into it's own window and then choose the Tracking tab at the top of the message. Outlook will give you a count of the replies received in the order of popularity.
