Do you often send e-mail to the same list of recipients, or a group of people? If the answer is yes, you can speed this up by creating a Personal Distribution List in Outlook. A "PDA" is just a list of people you wish to send email to.

What are Distribution Lists?

A distribution list is just a list of e-mail addresses. Two types of distribution lists are normally available in Outlook. Global distribution lists are setup by your system administrator and appear in the global address book. These are always bolded and are represented by an icon with two overlapping heads. To view the contents of a global list just double-click the list.

Personal distribution lists are setup by each user and they are normally saved in the users Contacts folder. (Outlook 2000 upwards).

 
 
 
 
Creating a PDA in Outlook

Make sure that Outlook is loaded and that you are in the Inbox folder. Choose Address Book from the Tools menu and the Address Book dialog box appears. Choose File New Entry and then choose Distribution List. Check that the "Put this entry in" section at the bottom of the dialog box says Contacts and then choose OK. Type a name for the distribution list, i.e. "Safety Group" and then click the Select Members button. You are now placed in the Global Address Book, click on the first person you wish to have in your distribution list and then click the Members button. Carry on doing this until you have chosen all the required members. You can choose addresses from any of your existing address books. Now choose OK and Save and Close.

You have now created a Personal Distribution List which will be saved in your contacts folder.

Sending e-mail to a PDA

There are many ways of sending e-mail to your PDA. Create a new message and type the name of your PDA in the "To" field, or alternatively, change to the Contacts folder, find the PDA and drag it to the Inbox.
