Adding a Template to a Toolbar Button (Word and Excel). Save time by adding a frequently used template to a button on the Standard or Formatting toolbar. To do this, first record a macro that chooses the template, then add the macro to a toolbar button.

Recording the Macro

1. Choose File, New, OK to start with a new blank document window. Now record the macro.
2. From the Tools menu choose Macro and then Record New Macro. Type in a name for the macro and choose OK.

Try and use a logical descriptive name i.e. Memo or Fax, because the macro name becomes the Screentip that shows when you place your mouse pointer over the toolbar button. Macro names can't have any spaces or punctuation in them.

3. Now choose your template as normal by choosing File, New, clicking on the template and choosing OK. Stop recording the macro by clicking on the stop button on the macro toolbar or by choosing Tools, Macro, and Stop Recording. You are now ready to add the macro the toolbar button.

Add the Macro to the Toolbar

1. From the Tools menu choose Customise. Change to the Commands tab at the top of the dialog box. Scroll down in the Categories in the left side until you see macros. Choose this category and all the available macros will appear to the right of the dialog box. Click to choose the macro you have just recorded and using the mouse drag the macro onto the toolbar at the top of the screen.

2. The default style for the macro is text and this produces a very long button. To change this, whilst still in the Tools, Customise dialog box, click to select the button you have added and click the Modify Selection button. Click Default Style and the button will change to a picture. Choose Close to return to the document.

Now, whenever you wish to use your template, just click the button on the toolbar.
