Last months Hints and Tips showed how to change the case of text in Excel using the Upper, Lower and Proper functions. This month we take it one step further and show how to use Paste Special to change a column of text from UPPER CASE to lower case.

Changing the case of text

The Upper, Lower and Proper functions are great for changing the case of text, but when you have used them you will end up with a second column containing the formula that changes the text. This isn't what most people want. You can use Paste Special to sort this out. Read on ....

 
 
 
 

Let's assume you have a list of names in all capitals in Column A and you use the Lower function (see last months Hints & Tips) to change the text to lower case in Column B. Most people then want to delete one of these columns so that only one column remains. The best approach for this is to use the Paste Special command.

Using Paste Special

Highlight the lower case names in Column B and then right-click and choose Copy. Highlight Column A and then right-click and choose Paste Special, choose Values from the dialog box that appears and choose OK. The text in Column A now appears in lower case and you can delete column B which is no longer required.
