There was a lot of interest in last months Hints & Tips when we showed you how to add a signature automatically to the end of your Outlook e-mail. Many users have asked if it is possible to use these signatures in Word. Whilst you cannot use your Outlook signatures in Word, you can use the AutoCorrect and AutoText features to quickly insert standard text into your Word documents, Excel worksheets and PowerPoint presentations.

AutoCorrect & AutoText

Standard blocks of text can be quickly inserted into your documents using AutoCorrect and AutoText. AutoCorrect is suitable to the user who only has a few entries and works in Word, Excel and PowerPoint. AutoText is only available in Word and is used when there are a lot of standard text entries. This month we are concentrating on AutoCorrect.

 
 
 
 
Adding an entry to AutoCorrect

First, type out the entry in a Word document and spell check it. Format the entry with any required formats. An ideal entry for AutoCorrect is the signature block typed at the end of letters.

Now, drag over the entry to select it and then from the Tools menu choose AutoCorrect. You will see the beginning of the selected entry in the "With" section and the cursor will be resting in the "Replace" section. Now, type a short name* for the entry and choose Add and then OK.

*AutoCorrect names cannot be real words because AutoCorrect works automatically all the time. For example, if you add your signature block (i.e. Yours sincerely, your name and job title) to AutoCorrect and call it "yours", whenever you type the word "yours" and press the spacebar or Enter, your signature block will appear. A more suitable name for the entry would be "ys".

Using an AutoCorrect entry

To use an AutoCorrect entry simply type the name of the entry and press spacebar or Enter!
