More Outlook tips this month. Stop sending e-mail full of typos by getting Outlook to automatically run the spell check when you click the send button, and save time by creating an automatic signature for your e-mail.

Spell Check

It is so easy to send an e-mail and forget to spell check it. Follow the instructions below and Outlook will run the spell check for you when you click the Send button.

Load Outlook, from the Tools menu choose Options and then choose the Spelling tab from the top of the dialog box. Put a tick in the "Always run spell check before sending" box and choose OK to return to Outlook.

Now test this by creating a dummy e-mail full of typos, click the Send button and spell check will start to run.

 
 
 
 
Automatic Signatures

You can create multiple signatures for your e-mail. If you always sign off an e-mail with the same signature you can set it as the "default" and it will be added to each e-mail you create.

To create a signature, from the Tools menu choose Options and then choose the Mail Format tab from the top of the dialog box. Now choose the Signature Picker button. Choose New, and type in a name for your signature, then click the Next button. You can now either type, paste or drag and drop your signature into this text box. If you want to format the signature drag to select it first. When you are happy with it choose Finish and OK.

If you want to add this signature automatically to each e-mail you do make sure it is showing in the "Use this signature by default" box. Doing this will make sure that the signature is added to each e-mail as you create it.

If you do not want to add the signature automatically or have multiple signatures to choose from, create the e-mail as normal and then choose Insert, Signature from the e-mail menu bar and choose the one you want.
