This month's Hints and Tips is about using Microsoft Outlook's Contact information in Word. Using Contacts in Outlook you can compile your own database of names and addresses, e-mail addresses and lots more information. When you input a name and address into Contacts you can then use it in Word on an envelope, label or in any document. When you read the steps below it may seem a bit involved, but it is worth trying it. You will never have to type an address more than once again!! Make sure you have created a couple of Contacts in Outlook before you try the steps below:

Envelopes and Labels

To place a name and address from Contacts in a label or envelope in Word:

To do this: load Word, choose the Tools menu and then choose Envelopes and Labels. In the top centre of the envelopes and labels dialog box you will see a button with a picture of a book on it. This is the address book button. Click this button and the "Select Names" dialog box appears. At the top right hand corner of this dialog box is a "Show Names from the" list box. Click the down arrow here and you should see "Contacts"** listed. Choose Contacts and the contact list will appear in the dialog box. Choose the contact you want to use and choose OK to insert it into the Envelopes and Labels dialog box.

 
 
 
 
Other documents

You will also want to use the names and address in other documents. The easiest way to do this is to add the Address Book button to your Toolbars at the top of the screen.

To do this: load Word, choose the Tools menu and then choose Customise. Click the Commands tab at the top of the dialog box. From the left hand side of the dialog box choose the Insert category, now scroll in the right hand side until you see the Address Book button. This is very near the bottom. When you can see this button, click on the button and drag it up to connect to one of the toolbars at the top of your screen.

This button will now stay on the toolbar when you shut Word down. You can now use Contact name and address information in any Word document.

**Trouble shooting

"When I click the down arrow in the Show Names box Contact is not listed"

You may have the above problem if you are using Outlook as a Microsoft Exchange Server client and the Outlook Address Book is not added as a service.

To sort this out, load Outlook and go to Tools, Services and choose the Add button. Choose Outlook Address Book from the list and choose OK. You will be prompted to Exit Outlook and Log off before the service can be added.

Now load Word, and try again! It should work this time!
